GUIDE FOR CONTRACTORS
The easiest way to keep track of gas receipts as a contractor
Gas is one of the biggest costs of running between jobs. The receipts are also the easiest thing to lose, fade or mix up with snacks and personal stops.

The usual problem
Receipts end up in the truck door, the cup holder and your wallet. Thermal paper fades. At the end of the year someone has to sort a pile by hand and guess which fill-ups were for which job.
A simple system
- Capture it right awayTake a photo of the receipt at the pump, before it goes anywhere.
- Tag it to a jobIf the fill-up was for a specific job, note it now. You won't remember later.
- Fuel onlyKeep snacks and drinks out of your fuel total. Pay for them separately if you can.
- Watch prepaid pumpsA prepaid charge isn't the final amount. Keep the final receipt.
- Total it monthlyTen minutes a month beats a weekend in April.
This isn't tax advice. Ask your tax preparer what records you need to keep and for how long.
How DH1 Tech handles this: Gas receipts and Ask DH1 Tech
Snap a photo of a gas receipt and DH1 Tech reads the station, date, amount and transaction number. It totals fuel by month and year, for any date range or project, and counts fuel only. Prepaid pumps stay out of the total until the final receipt is in. You can also just ask: "Gas receipts for last month."
DH1 Tech is in testing and not released yet. Features may change before launch.
